Booking, reminders and rebooking for barber shops

Your phone rings mid-fade, Saturday is full by Wednesday and regulars drift off without a word. We build the booking, the reminders and the "you're due for a cut" messages, so you can keep cutting.

What does an AI booking system do for a barber shop?

An AI booking system for a barber shop takes bookings on your website and in chat, keeps a waiting list for full days, reminds each client the day before and remembers every regular's cut, barber and usual gap between visits. When that gap is up, it messages the client with free slots they can book in one tap.

Clients book, confirm and move their own appointments from their phones. You don't touch the diary between cuts.

They can write the way they talk, like "can I come an hour later?" or "same as last time with Dev", and the booking still gets made. Every client's history sits in one client list we build for your shop.

What we build for a barber shop

A website that takes bookings

Clients pick a cut, a barber and a time on your own website, see the price and the length of each service, and get a confirmation in WhatsApp or SMS. Full days offer a place on the waiting list instead of a dead end.

Open Northside Barbers, an example site we built, and try the booking panel. We build and run managed websites like it, and you ask for changes in plain words.

When you're mid-fade and the phone rings

A missed call gets a WhatsApp or text within a minute, with a link to book or a question about what the caller needs. The assistant replies in the language the customer writes in, and you read every conversation in your own.

If you want, an AI assistant answers the call instead, books the cut and sends you a short summary. Anything it can't handle comes to you. It tells callers they're speaking to an assistant. We set it up on a proven voice platform and connect it to your diary.

A waiting list that fills cancelled slots

When someone cancels at 9am, the Saturday 11:00 slot goes to the first person waiting for that barber, with half an hour to take it. If they pass, the next person gets the offer. Nobody rings round, and the chair stays booked.

You decide who gets first pick, for example regulars before new faces. We set those rules up with you using our decision automation.

Reminders clients answer with one tap

The day before, every client gets a reminder with three buttons: confirm, move or cancel. A client who moves picks a new time from the same message, and the old slot goes straight to the waiting list.

You start the day knowing who is coming. The reminders run over WhatsApp, SMS or Telegram, the way our WhatsApp automation and Telegram bots handle replies for other businesses.

A Google review request after every visit

A few hours after the cut, the client gets a thank-you with a link to your Google profile. Every client gets the same ask, because Google's rules forbid rewarding reviews or asking only the happy ones.

When someone replies that something went wrong, the message comes to you instead of sitting unread, so you can put it right while they still remember the visit. We also draft a reply to each new Google review for you to approve, and post offers and holiday hours to your Google profile.

Bringing lapsed regulars back

A client who came every four weeks and hasn't booked in eleven is probably trying another shop. Every Monday you get a short list of regulars like that, with a welcome-back message ready to send.

Our co-founder Kirill has worked in marketing since 2006, and he helps you choose who to message, when, and what to offer, so you win them back without everyone learning to wait for a discount.

What you get with every barber shop build

  • Booking on your site or your app

A booking page on your website, or the reminders and waiting list added to the booking app you use now, where it allows it.

  • A record of every client

Each client's cuts, barber, usual gap, preferred channel and notes such as "number 2 on the sides", in one list you own.

  • WhatsApp, SMS or Telegram

Each client gets messages on the channel they chose, and replies to any message land in the same booking.

  • Rules you set

How long a waiting-list offer stays open, how often a client gets a rebooking message and who sees the overdue list.

  • A morning summary

The day's bookings, gaps and overdue regulars in your chat before you open, with buttons to act on each one.

  • Deposits for long services

You pick which bookings need a deposit, such as a cut and colour. The client pays from a link in the chat through Stripe or your booking app's payments, and it comes off the bill. We never hold the money.

How we set it up for your shop

  1. The audit

    Free

You show us how bookings come in today, by phone, app, Instagram or walk-in. We tell you what to automate first and whether your current booking app can stay.

You getA written plan of what to automate first, yours to keep.
  2. Build and test

    One fixed price

We build the booking, the messages and the client record, bring in your existing client list and test every message on our own phones before a client sees one.

You getA working, documented system. Once you've paid, the code we wrote is yours.
  3. Running it

    A monthly rate

We keep it running, adjust the messages as you learn what your clients answer, and add services, barbers or a second shop when you grow.

You getA monthly rate for the scope we agreed.

How much does a barber shop booking system cost?

A barber shop booking and rebooking system costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. If the shop needs a new website for it, our managed websites start from $790 at launch prices.

WhatsApp and SMS providers charge per message. You can use your own provider accounts and they bill you directly, or we manage them and estimate the cost from the number of clients and messages. For a first number, estimate your build. See how the build price and the monthly rate work.

Questions barber shops ask us

How do automatic rebooking messages work for a barber shop?

Automatic rebooking messages work from each client's own gap between visits. The system notes the cut, the barber and how many weeks the client usually leaves, and when that gap is up it sends a WhatsApp or SMS message with two or three free slots from their barber. The client taps one and the booking is made. Clients who say not now get asked again a week later, once.

Can a barber shop waiting list fill cancelled appointments on its own?

Yes. When a client cancels or moves a booking, the waiting list offers the free slot to the first person waiting for that day and barber, with a time limit to accept. If they pass or don't answer, the next person gets it. The barber sees the filled slot in the book and never has to ring round.

Can you add reminders and rebooking to the booking app my barber shop already uses?

Often, yes. If your booking app lets other software read and change appointments, through an API or webhooks, we add the reminders, the waiting list and the rebooking messages on top of it. If it doesn't, we build a booking page on your own website and move your client list across. The free audit checks which applies to your app before you pay anything.

Should a barber shop message clients by WhatsApp or SMS?

A barber shop should use the channel its clients already answer, and many shops need both. We send through WhatsApp, SMS or Telegram and let each client pick. Both WhatsApp and SMS providers charge per message, so we agree which messages go out and how often at the audit. With your own provider accounts, the providers bill you directly.

Can I give clients a discount for leaving a Google review?

No. Google's rules forbid offering discounts, gifts or money in exchange for reviews, and reviews collected that way can be removed. Asking only happy clients breaks the same rules. We ask every client for a Google review after the visit with no reward attached, send unhappy replies to you so you can put things right, and keep discounts for rebooking and referrals.

Do I need this if my booking app already sends reminders?

Maybe not. Keep your booking app. We add only what the booking app can't do, such as WhatsApp messages, rebooking at each client's own gap, the list of regulars gone quiet and answering the phone when you can't. If your booking app already does all of that, the free audit tells you so, and you don't need us.

How much does a booking and rebooking system for a barber shop cost?

A booking and rebooking system costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. If you need a new website for it, our managed websites start from $790 at launch prices. The monthly rate is set for the scope we agree, and we re-quote if the scope or the number of messages changes a lot.

Who owns the client list in a barber shop booking system you build?

You do. The client list, the booking history and the notes on each client belong to your shop, and you can export them whenever you want. Once the build is paid in full, you also own the custom code and automations we wrote for it. If you stop working with us, we hand everything over.

How do your clients book today?

Tell us how bookings reach you now, by phone, app or Instagram. We'll show you which parts to automate first before you spend anything.
