Setup reminders, string reorders and repair updates for music shops

A customer bought a guitar from you last October, and you haven't seen him since. We build music shops a customer record that remembers the instrument, the strings and the last setup, and invites each player back when the next one is due.

What can AI do for a music shop?

AI can remember who bought which instrument, which strings they use and when it last had a setup, then invite each player back for a yearly setup and clean or a fresh set of strings. It tells customers when a repair is ready and books lessons by message.

The bench brings people back to the shop more than the shop floor does. A player who drops off a guitar for a setup walks past the pedals, the strings and the amp they've been looking at for months.

If your till keeps a record of sales, we read it, and nobody types the customer list in by hand. Our AI integration work connects to the systems a shop runs.

What we build for music shops

A yearly setup and clean

A year after the purchase or the last setup, the player gets an invite with drop-off days. Wood moves with the seasons, so you might time a round of invites for when the heating comes on.

The bench has a limit. You tell us how many setups your tech can do in a day, and the invites go out in batches that fit. That planning is part of the operations automation we build.

Calls while you're on the bench

You've got a guitar on the bench with the strings off when the phone rings. A missed call gets a WhatsApp or text within a minute, asking whether it's about a repair, strings or lessons.

If you want, an AI assistant answers the call, books setups and lessons into your diary and sends you a short summary. Anything it can't handle comes to you. We set it up on a proven voice platform as one of our custom AI builds. It tells callers they're speaking to an assistant.

Strings every few months

The record holds each player's gauge, material and how often they buy. A gigging player who buys every month and a bedroom player who buys twice a year each get the reminder at their own pace.

Players ask "what did I buy last time?" and get the answer in seconds. It replies in the language the player writes in, and you read every conversation in your own. The same assistant runs on WhatsApp, as in our WhatsApp automation for other shops.

Repair quotes and updates by message

The customer sends a photo of the problem, Sam sends a price, and the customer approves it with one tap. The photo and the approval stay on the repair ticket. A quote nobody answers gets one follow-up after a few days.

After drop-off, the customer hears when the job is booked in, when it's waiting on a part and when it's ready to collect, with a link to pay. The steps from ticket to pick-up run on our workflow automation.

Lessons booked and moved by message

Students and parents book weekly lessons, move a lesson when someone's ill and get a reminder for the end of term. Each teacher sees their own week.

You set the rules, such as 24 hours' notice to move a lesson, and the assistant offers a catch-up slot when a lesson is missed. We run those rules as decision automation.

A Google review request after pick-up

A day after a player collects their instrument, they get a thank-you and a link to your Google profile. Every customer gets the same ask, because Google's rules forbid rewarding reviews or asking only the happy ones.

If a player writes back that the low E buzzes, the message comes to you and the tech can book them in again. When a review comes in, we draft a reply for you to approve, and we post your offers and holiday hours to your Google profile. An AI employee sends these each day and logs each one.

How much does a customer reminder system for a music shop cost?

A reminder and repair system for a music shop costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. If the shop needs a new website, our managed websites start from $790 at launch prices.

WhatsApp and SMS providers charge per message. You can use your own provider accounts and pay the providers yourself, or we manage them and estimate the cost from your number of customers and messages. For a first number, estimate your build. See how the build price and the monthly rate work.

Questions music shops ask us

How often should a guitar have a setup?

Many players have a guitar set up once a year, and some book one when the seasons change, because wood moves with humidity. A change of string gauge or tuning is another common reason for a setup. A music shop can store each customer's last setup date and invite the player back at the interval your tech recommends, in batches the bench can handle.

Can a music shop remind customers to change their strings?

Yes. A music shop can store each customer's string gauge, material and how often they buy, then send a reminder when the next set is due. The reminder names the exact set and offers to put one aside or send a payment link. A player who buys every month and one who buys twice a year each get the reminder at their own pace.

How do customers get repair updates from a music shop?

Customers get repair updates by WhatsApp or SMS at each step. Before drop-off they can send a photo and get a price to approve with one tap. After that they hear when the job is booked in, when it's waiting on a part and when it's ready to collect, with a link to pay. The photo and the approval stay on the repair ticket.

Can you connect setup reminders to my shop's till or EPOS?

In many cases, yes. If your till or EPOS system exports sales or lets other software read them through an API, we pull in each sale with the customer, the instrument and the date. That fills the customer record without retyping. If the till is closed, staff add the customer at the counter by message. The free audit checks your till before you pay anything.

Can music lessons be booked and moved by message?

Yes. Students and parents book weekly lessons by WhatsApp or SMS, move a lesson with the notice your rules ask for, and get offered a catch-up slot when they miss one. Each teacher sees their own week in a chat or on a simple page. End-of-term reminders go out to every student with a link to book the next term.

Can I give customers a discount for leaving a Google review?

No. Google's rules forbid offering discounts, free strings or money in exchange for reviews, and reviews collected that way can be removed. Asking only happy customers breaks the same rules. We ask every customer for a Google review after the visit with no reward attached, send unhappy replies to you, and keep discounts for repeat setups, loyalty and referrals.

Do I need this if my till or repair software already sends messages?

Maybe not. Keep your till or repair software. We add the parts it can't do, such as setup invites at each player's own interval, string reminders, photo quotes in WhatsApp and answering the phone while you're on the bench. If your till or repair software covers all of that, the free audit will tell you so, and you won't need us.

How much does a customer reminder system for a music shop cost?

A customer reminder system costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. If you need a new website for it, our managed websites start from $790 at launch prices. The monthly rate is set for the scope we agree, and we re-quote if the scope or the number of messages changes a lot.

When did your last guitar buyer come back in?

Tell us how sales, repairs and lessons are tracked in your shop now, and we'll show you what to automate first before you spend anything.
