Booking, deposits and infill reminders for nail salons
Your phone buzzes with booking messages while you're halfway through a full set. We build a system that takes the deposit, remembers the colour and books each client's infill before the set grows out.
What can AI do for a nail salon?
AI can answer the booking messages that pile up while your hands are busy. It books each service for the right length, takes a deposit to hold the slot and remembers each client's colour, shape and tech. When the infill is due at two to three weeks, it messages the client with times.
A full set can take an hour and a half of a tech's day, so a no-show costs you that time. A deposit and a reminder the day before give the client a reason to turn up, or to tell you in time for someone else to take the slot.
If you also do hair, the same client record can hold colour formulas and patch tests, as on our hair salon page.
What we build for a nail salon
Deposits that hold the slot
You decide who pays a deposit: new clients, full sets over an hour, or every booking. The client pays from a link in the chat, and the deposit comes off the bill. Payments run through Stripe or your booking app's own payments, and we never hold the money. If they cancel inside your notice period, the system follows your terms and offers them a new date.
The rules sit in one place and apply the same way to every tech. We build those rules with our decision automation, so nobody at the desk has to argue a deposit with a client.
Calls while your hands are in a set
A missed call gets a WhatsApp or text within a minute, with a link to book or a question about what the caller needs. The assistant replies in the language the customer writes in, and you read every conversation in your own.
If you want, an AI assistant answers the call instead, books the right length with the right tech and sends you a short summary. Anything it can't handle comes to you. It tells callers they're speaking to an assistant. We set it up on a proven voice platform and connect it to your diary.
Each client's colour, shape and tech
When a set is finished, the tech sends a photo to the salon chat. The AI saves the photo to the client's record with the colour, the shape, the length and the product. Notes such as "lifts on the left thumb" or "reacted to a gel before" stay on the record too.
Next time, the client can say "same as last time" and get it. We build these records as custom CRMs around the way your salon works.

Infills booked before the set grows out
At two to three weeks a set needs an infill. Leave it to four or five and your tech may need to soak off and start again, which takes longer. The system books the right length for how long it has been.
If you keep your booking app, we connect the reminders to that app through our AI integration work, so the diary stays in one place.
Party season booked in November
December fills with party nails and holiday sets. In November, the system lists clients whose infill falls in December and offers them a slot before the diary fills. You approve the message before it goes.
The same weekly note lists last week's Google review requests. Every client gets the same ask after a visit, with no reward, as Google's rules require. We also draft a reply to each new Google review for you to approve, and post offers and holiday hours to your Google profile. An AI employee prepares this note on a schedule.

How we set it up for your salon

How much does a nail salon booking system cost?
A nail salon booking system costs a fixed price to build and a monthly rate to run. The audit that scopes it is free. If the salon needs a new website for bookings, our managed websites start from $790 at launch prices.
WhatsApp and SMS providers charge per message, and payment providers take a fee on each deposit. You can use your own accounts and pay the providers yourself, or we manage them and estimate the cost. For a first number, estimate your build. See how the build price and the monthly rate work.
Questions nail salons ask us
Should a nail salon take deposits for appointments?
Many nail salons take deposits for new clients and long appointments such as full sets, because a no-show leaves a tech with an empty hour or more. In the systems we build, you choose who pays a deposit and how much. The client pays from a link in the chat, the deposit comes off the bill, and your cancellation terms decide what happens to the deposit when plans change.
When should a nail salon send infill reminders?
A nail salon should send infill reminders at two to three weeks, before the set grows out or starts to lift. The system we build sets the reminder from each client's own visits, so a client who comes every 18 days hears from you at 18 days. The infill reminder shows their last colour and times from their usual tech.
How can a nail salon reduce no-shows?
A nail salon can reduce no-shows with a deposit, a reminder the day before and an easy way to move the booking. A client who can move a booking in one tap has an easy choice besides not turning up. We build all three, plus a waiting list, so a cancelled slot can go to another client who asked for that day.
Can a nail salon booking system remember each client's gel colour and nail shape?
Yes. A nail salon booking system we build keeps each client's colours, shape, length, product and tech on their record, with a photo of each finished set. Techs add the photo from the salon chat in a few seconds. When the client asks for the same again, the tech opens the record and sees the last set.
Can you add deposits and reminders to the booking app my nail salon uses?
Often, yes. If your booking app lets other software read and change appointments, through an API or webhooks, we add the deposits, reminders and infill messages on top of that booking app. If the app is closed, we build a booking page on your website and move your client list across. The free audit checks which applies before you pay anything.
Do I need this if my booking app already sends reminders?
Maybe not. Keep your booking app. We add only what the booking app can't do, such as WhatsApp messages, infill reminders at each client's own interval, the list of clients gone quiet and answering the phone when you can't. If your booking app already does all of that, the free audit tells you so, and you don't need us.
How much does a booking and reminder system for a nail salon cost?
A booking and reminder system for a nail salon costs a fixed price to build and a monthly rate to run, and the audit that scopes the work is free. Managed websites start from $790 at launch prices. The monthly rate is set for the scope we agree, and we re-quote if the scope or the number of messages changes a lot.
Who owns the client list and photos in a nail salon system you build?
Your salon owns the client list, the set photos and the booking history, and you can export them whenever you want. Once the build is paid in full, you also own the custom code and automations we wrote. If a tech leaves, the client records stay with the salon. If you stop working with us, we hand everything over.
