Service reminders and repair tracking for watch and jewellery shops

A customer bought a watch from you three years ago and you haven't seen them since. We build the service invitations, the repair tickets and the gift reminders, so they come back to your counter and not to a stranger's.

What can AI do for a watch and jewellery repair shop?

AI can invite each customer back when their watch is due a service, timed to the movement inside it. It keeps a repair ticket from drop-off to collection, with photos, estimates and approvals. It reminds customers about battery changes and ring cleaning, and it sends gift and anniversary reminders to the customers who ask for them.

Each watch and ring sits on a record with the serial, the movement, the ring size and every job you've done on it.

A customer who asks "is my watch back yet?" gets the answer from the chat. The chat replies in the language each customer writes in, and you read every conversation in your own.

What we build for watch and jewellery repair

Calls while you're at the bench

You can't pick up the phone with a caseback open and a loupe in your eye. If you miss the call, the caller gets a WhatsApp or text within a minute, asking what they need, with a link to book a time.

If you want, an AI assistant answers the call instead. It books the job into your diary and sends you a short summary. Anything it can't handle comes to you, and it tells callers they're speaking to an assistant. We set it up on a proven voice platform and connect it to your diary.

Service invitations by movement

A mechanical watch needs a service every few years, and a quartz watch needs a new battery more often. You set the gap for each type of movement. The system times each customer's invitation from the date of purchase or the last service.

Customers who bought from you get a yearly check invitation as well. Each watch, with its serial and service history, sits in a customer record we build for your shop.

Repair tickets from drop-off to collection

At the counter you take a photo of the watch, note the scratches and the serial, and the customer gets a ticket number by message. Once the watchmaker opens the case, the estimate goes to the customer to approve.

The customer gets a message when the watch is ready, and a reminder if it sits uncollected. The customer pays from a link or at the counter, and an estimate nobody answers gets one follow-up after three days. We connect the counter, the workshop and the messages with workflow automation.

Ring cleaning and claw checks

An engagement ring worn every day collects dirt, and the claws holding the stone wear down. Customers who bought a ring from you get an invitation for a free clean and claw check at the gap you set.

The record keeps the ring size, the metal, the stone and each resize. A customer who asks to go up half a size gets a price and a date without you looking it up.

Gift and anniversary reminders, for those who ask

A customer buying an engagement ring can ask you for a reminder before the anniversary. Three weeks before the date, he gets a message with the notes he left, like her ring size and "prefers yellow gold".

The reminders go only to customers who opted in, and they stop with one reply. They run through our WhatsApp automation or SMS.

Enquiries with a photo, at any hour

"Can you fix my grandfather's watch?" arrives at 23:00 with a blurry photo. The chat asks for a clear photo of the dial and the back, what's wrong and whether it still runs.

You get a tidy enquiry in the morning with the photos and the answers. An AI employee can sort these enquiries for you and book the ones you accept for a look at the counter.

How much does a repair tracking and reminder system cost?

A repair tracking and reminder system for a watch and jewellery shop costs a fixed price to build and a monthly rate to run. The audit that scopes it is free. If you need a new website for it, our managed websites start from $790 at launch prices.

WhatsApp and SMS providers charge per message. You can use your own provider accounts and they bill you direct, or we manage them and estimate the cost from your customers and repairs. For a first number, estimate your build. See how the build price and the monthly rate work.

Questions watch and jewellery shops ask us

How do I remind customers when their watch is due a service?

A watch service reminder works from the movement inside the watch and the date of the last service or purchase. You set the gap for each type of movement, and the system sends the customer an invitation with free times when the gap is up. Customers who bought from you can also get a yearly check invitation. The customer books by tapping a time.

Can customers track a watch repair without calling the shop?

Yes. Each watch repair gets a ticket number at drop-off, and the customer gets a message at each stage: with the watchmaker, waiting for approval, ready to collect. A customer who asks for news in the chat gets the latest stage for their ticket. Estimates go out for approval with buttons to approve, call or have the watch returned.

Can a jeweller send anniversary reminders to customers?

A jeweller can send anniversary reminders to customers who ask for them. We build an opt-in at the sale: the customer gives the date and any notes, such as a ring size. A few weeks before the date, the customer gets a reminder with those notes and gift ideas from your stock. One reply stops the reminders.

How often should customers bring in rings for cleaning and checks?

You decide how often to invite ring customers for cleaning and checks, and the system sends the invitations at that gap. Many jewellers offer a free clean and claw check every six or twelve months. The record keeps the ring size, the metal, the stone and each resize, so the check can include a resize quote.

Can the system keep each watch's serial number and service history?

Yes. The customer record holds each watch with its serial number, movement, purchase date, condition photos and every service or repair you've done. The same record holds rings with their size, metal, stone and resizes. You can search by customer, serial or ticket number from the counter or from your phone.

Can I give customers a discount for a Google review?

No. Google's rules forbid offering discounts, gifts or money in exchange for reviews, and asking only happy customers breaks the same rules. We ask every customer for a Google review after the repair or the sale with no reward attached. Unhappy replies come to you first, and discounts stay for returning customers and referrals.

Do I need this if my shop software already sends reminders?

Maybe not. Keep the shop software. We add only what it can't do: WhatsApp messages, rebooking at each customer's own interval, the list of customers who have gone quiet and answering the phone when you can't. For a watch shop that also means service invitations by movement and repair estimates approved in the chat. If your shop software already covers all of that, the free audit will tell you, and you won't need us.

How much does a repair and reminder system for a jeweller cost?

A repair and reminder system for a jeweller costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. Our managed websites start from $790 at launch prices if you need a new site. The monthly rate is set for the scope we agree, and we re-quote if the scope or the number of messages changes a lot.

How many of last year's watch buyers have you seen since?

Show us your repair book and your sales list, and we'll tell you which invitations to automate first before you spend anything.
