Maintenance rounds, visit reports and follow-ups for pest control

Your evenings go on typing up visit reports and working out which contracts are due next week. We build the rounds, the reports and the follow-ups. Your technicians talk, and you stop typing reports at night.

What can AI do for a pest control company?

AI can run your maintenance rounds. It books each contract visit on time and keeps the bait-station map for every site. It writes the visit report your restaurant and shop customers file in their logbook. It books the follow-up after a first treatment, and it answers enquiries at night by asking for a photo of the problem.

Your technician talks into the phone after a visit. The customer gets a tidy report before the van leaves the car park.

Each site, contract and station sits in one record, so a new technician on the round knows where station 9 is. The chat replies in the language each customer writes in, and you read every conversation in your own.

What we build for a pest control company

When you can't get to the phone

Your phone rings while you're in a loft with a torch in your teeth. If you miss the call, the caller gets a WhatsApp or text within a minute, asking what they've seen and offering a link to book.

If you want, an AI assistant answers the call instead. It books the job into your diary and sends you a short summary. Anything it can't handle comes to you, and it tells callers they're speaking to an assistant. We set it up on a proven voice platform and connect it to your diary.

Contract visits booked on time

Each contract has its own gap: every six weeks for a takeaway, every three months for an office. The system books the next visit from the last one and groups sites by area, so one van covers one part of town each day.

Restaurants get offered a time before they open. Shop managers confirm with one tap. We plan the rounds with operations automation built around your vans.

Bait stations checked one by one

Every site gets a numbered list of stations with where each one sits. On the visit the technician marks each station: no activity, bait taken, droppings, damaged or moved.

A station with activity two visits running gets flagged, with a proofing quote ready to send. Technicians work through the list in a Telegram bot on the phone they carry.

Logbook reports after each visit

Restaurants, cafés and food shops keep pest control records for when an inspector or an auditor calls. After each visit the report goes out in the same format: date, technician, stations, products used, findings and advice.

Each report lands in the customer's inbox and in a folder for that site. A manager who needs last year's reports asks the chat and gets the file. See how we build reports that send themselves.

The follow-up after a first treatment

Mice, bed bugs and cockroaches often need more than one visit. The follow-up gets booked at the first visit, at the gap you set for that pest. A few days after treatment the customer gets a check-in with two buttons.

If they still see signs, the system moves the follow-up forward. Once the job is clear, home customers get offered a yearly check, and shops get offered a contract.

Wasp season and contracts that lapsed

Last summer's wasp customers will ring again in July. In spring the system lists them for you with a message ready, because a nest found in May is smaller and quicker to treat.

It does the same for contracts that ended without a renewal. You see who left and when, and you decide who gets a message. An AI employee can run that list each month and bring you only the decisions.

What you get with a pest control build

  • A record for each site

Contract, visit gap, station list with positions, pests found, products used and access notes like "keys at the bar".

  • Contracts paid monthly

Customers on a yearly contract get booked in when each visit is due and pay monthly by card or direct debit. You see who's on a contract and who has lapsed.

  • Reports from a voice note

The technician talks, the customer gets a written report, and a copy goes into that site's logbook folder.

  • Follow-ups after treatments

A return visit booked at the first visit, a check-in a few days later and an earlier visit if signs are still there.

  • Quotes approved in the chat

You send a price for proofing or a one-off treatment. The customer approves with one tap and pays from a link. The photos and the approval stay on the site record, and an unanswered quote gets one follow-up.

  • Google reviews answered

We draft a reply to each Google review for you to approve, and post your offers and holiday hours to your Google profile.

How we set it up for your company

  1. The audit

    Free

You show us your contracts, your report template and how enquiries reach you. We tell you what to automate first and whether your current software can stay.

You getA written plan of what to automate first, yours to keep.
  2. Build and test

    One fixed price

We build the rounds, the station lists and the reports in your format. We bring in your sites and contracts, then test each message and report on our own phones first.

You getA working, documented system. Once you've paid, the code we wrote is yours.
  3. Running it

    A monthly rate

We keep it running, change the report layout when a customer asks, and add technicians, vans or new contract types as you grow.

You getA monthly rate for the scope we agreed.

How much does a pest control scheduling system cost?

A pest control scheduling and reporting system costs a fixed price to build and a monthly rate to run. The audit that scopes it is free. If you need a new website with an enquiry form, our managed websites start from $790 at launch prices.

WhatsApp and SMS providers charge per message. You can use your own provider accounts and they bill you direct, or we manage them and estimate the cost from your sites and customers. For a first number, estimate your build. See how the build price and the monthly rate work.

Questions pest control companies ask us

Can software schedule pest control visits for each contract on its own?

Yes. Each contract gets its own visit gap, such as six weeks or three months, and the system books the next visit from the date of the last one. It groups sites by area for each van and offers restaurants a time before they open. Customers confirm or move the visit from a WhatsApp or SMS message, and you see the round for the week in one place.

Can AI write pest control reports for a restaurant's logbook?

Yes. The technician records a voice note or fills a short checklist after the visit, and the AI writes the pest control report in your format: date, technician, stations checked, products used, findings and advice. You can check each report before it goes out, or let it send on its own. The customer gets the report by email, and a copy goes into that site's folder.

How do you track bait station checks across many sites?

Each site has a numbered list of bait stations with where each one sits. On the visit, the technician marks each bait station from a phone: no activity, bait taken, droppings, damaged or moved. The system keeps the history per station and flags a station with activity on two visits running, with a proofing quote ready to draft.

Can a chatbot answer pest control enquiries from a photo?

A chatbot can ask for a photo, the address and the questions you would ask, such as where the signs are and how long they have been there. It can say what the photo looks like and offer a first visit, while your technician confirms the pest on site. Enquiries that need a person, like a large commercial job, come to you with the photo attached.

Does the system book the follow-up visit after a first treatment?

Yes. The follow-up visit gets booked at the first visit, at the gap you set for that pest. A few days after treatment, the customer gets a check-in asking whether the signs have stopped. If the customer still sees signs, the system offers an earlier follow-up. Once the job is clear, home customers get offered a yearly check and shops get offered a contract.

Can you work with the pest control software or spreadsheets I use now?

Often, yes. If your pest control software lets other software read and change jobs, through an API or webhooks, we build the reminders and reports on top of it. If you run on spreadsheets, we move your sites, contracts and station lists into a record we build for you. The free audit checks which applies before you pay anything.

Do I need this if my pest control software already sends reminders?

Maybe not. Keep the pest control software. We add only what it can't do: WhatsApp messages, rebooking at each customer's own interval, the list of customers who have gone quiet and answering the phone when you can't. For a pest firm that also means the voice-note reports and the bait-station flags. If your pest control software already covers all of that, the free audit will tell you, and you won't need us.

How much does a pest control scheduling and reporting system cost?

A pest control scheduling and reporting system costs a fixed price to build and a monthly rate to run, and the audit that scopes it is free. Our managed websites start from $790 at launch prices if you need a new site. The monthly rate is set for the scope we agree, and we re-quote if the scope or the number of messages changes a lot.

How long do your visit reports take each week?

Show us one report and one week of rounds, and we'll tell you which part to automate first before you spend anything.
