AI Assistant Integration

Inbox-to-tasks assistant for a busy operator

Email goes in; an organized, managed task list comes out — with calendar, reminders, and persistent memory handled.

The problem

A busy operator was drowning in email. Action items lived buried in threads, surfaced too late or not at all, and the work of turning messages into tracked tasks was itself a daily chore.

The cost was not just lost time — it was the dropped commitments that only a human re-reading everything would catch.

"The cost was the dropped commitments that only a human re-reading everything would catch."

Our approach

We treated the inbox as a source of structured work, not a place to live. The aim was an assistant that reads what arrives, decides what actually needs doing, and turns it into a managed task list.

It needed to handle the surrounding logistics of calendar and reminders, and remember context across time so nothing had to be re-explained.

What we built

An AI assistant wired into the operator's existing tools — Google Workspace, calendar, task list. GDPR-compliant, EU-hosted, encrypted at rest. BYOK or managed-key options available.

  • Reads incoming mail and extracts the genuine action items
  • Creates and maintains a structured, managed task list automatically
  • Handles calendar entries and reminders around those tasks
  • Keeps persistent memory — context carries across days and threads
  • Runs inside the tools already in use — no new app to live in
  • Memory gate ensures only genuine facts are stored — not questions or noise

The result

Inbox→tasks
organized automatically
Calendar
+ reminders handled
Persistent
memory across the work

Email stopped being a place where commitments went to die. Action items now land in an organized task list on their own, the calendar and reminders take care of themselves.

The assistant remembers enough context that the operator is not constantly re-briefing it — it knows what was agreed last week without being told again.

How we think about it

The inbox is the highest-leverage place to put AI for most operators, because it is where work arrives and where work gets lost. The hard part is not reading email — it is reliably telling a real action item from noise, and remembering the right things.

That is exactly where our reliability tooling earns its place: the assistant stores genuine facts and commitments, not noise, so it does not drift over time.
